VENDOR OPERATIONS & CHECK-IN ROLES

These roles support the smooth setup, organization, and day-of success of vendors and community resource partners at each Ride Out of the Darkness® event. Vendor Operations & Check-In volunteers ensure vendors feel welcomed, informed, and properly placed so the event flows smoothly for everyone involved. All roles are event-focused with light pre-event coordination as needed. Time commitment varies by role.

  • ROLE TYPE
    Vendor Operations Support Role — Event-Focused Assignment

    ROLE PURPOSE
    Oversees all vendor check-in logistics and on-site operations to ensure vendors and resource partners are placed correctly and supported throughout the event.

    SCOPE OF RESPONSIBILITY
    • Oversees vendor check-in process
    • Coordinates vendor arrival timing and flow
    • Communicates with Vendor Director and Operations Team
    • Ensures vendors are directed to correct locations
    • Troubleshoots vendor needs on event day

    TIME COMMITMENT
    • Light pre-event coordination
    • Active role on event day
    • Post-event feedback as needed

    SUPPORT & STRUCTURE
    • Works closely with Vendor Director
    • Supported by maps, layouts, and vendor lists
    • Leads Vendor Check-In team

    Vendor Operations Support Role — Event-Focused Assignment

    ROLE PURPOSE

    Ensures all vendors and community resource partners follow event rules, safety boundaries, and setup standards so the Vendor & Resource Areas remain calm, professional, and mission-aligned. This role prevents prohibited items, unsafe setups, blocked lanes, and rule confusion by clearly communicating expectations and addressing issues early.

    SCOPE OF RESPONSIBILITY

    • Confirms vendors understand and follow vendor rules and expectations
    • Enforces prohibited items and prohibited activities (including “no mechanical work” rule)
    • Helps ensure vendor spaces stay within assigned footprint and do not overlap
    • Monitors vendor area walkways, fire lanes, and safety access points staying clear
    • Addresses compliance issues calmly and professionally before they escalate
    • Supports Vendor Check-In & Operations Coordinator with rule reminders during load-in
    • Communicates with Vendor Director and Operations Team when issues require escalation
    • Documents repeated issues or major violations for leadership follow-up
    • Helps protect emotionally sensitive Resource & Wellness spaces from disruption or misrepresentation

    TIME COMMITMENT

    • Light pre-event coordination
    • Active role on event day (especially during vendor load-in and early event hours)
    • Ongoing walkthrough support as needed during the rally

    SUPPORT & STRUCTURE

    • Reports to the Vendor Director
    • Works alongside Vendor Check-In & Operations Coordinator and Vendor Support Float Volunteers
    • Supported by vendor maps, layout plans, vendor lists, and event rules
    • Escalation support available through Operations Director and Safety Team if needed

    • Refer questions to Lead or Coordinator
