FOOD TRUCK, SANITATION & FACILITIES ROLES
These roles protect the comfort, cleanliness, compliance, and overall attendee experience at the Ride Out of the Darkness™ event. This category includes long-term planning roles responsible for recruiting and coordinating food and beverage vendors (including alcohol where permitted), as well as sanitation roles that ensure restrooms, handwashing, and public areas stay clean, stocked, and functional throughout the day.
Food and sanitation are not “extra” details. They directly impact crowd flow, public health, vendor success, and the reputation of the chapter. When this section is structured correctly, attendees stay longer, vendors operate smoothly, and the event feels organized and cared for from start to finish.
Some roles in this category require 10–12 months of light planning and coordination, while others are event-day focused support roles. Time commitment varies by role and is listed below.

ROLE TYPE
Food & Facilities Leadership Role — 10–12 Month Assignment
ROLE PURPOSE
Recruits, organizes, and coordinates all food truck and beverage vendors (including alcohol vendors where permitted) to ensure a smooth, compliant, and high-quality attendee experience at Ride Out of the Darkness™.
SCOPE OF RESPONSIBILITY
• Recruits food trucks and beverage vendors that align with event standards
• Ensures vendors apply through www.lovesurroundsyou.org and are managed through Eventbrite categories and vendor map placement
• Confirms vendors email required documents to info@lovesurroundsyou.org (permits, licenses, alcohol documentation if applicable)
• Helps prevent long-line bottlenecks by coordinating spacing and flow needs with Vendor Director and Operations
• Confirms each approved vendor submits a short vendor video for social media promotion
• Communicates vendor expectations including arrival time, setup rules, and event-day boundariesTIME COMMITMENT

ROLE TYPE
Event-Day Support Role
ROLE PURPOSE
Supports food truck and beverage vendor operations on event day by assisting with vendor flow, crowd management, and basic needs so vendors can focus on serving and attendees can move safely through the area.
SCOPE OF RESPONSIBILITY
• Help guide vendors to correct locations if needed
• Support line control and prevent unsafe crowding in food zones
• Assist with keeping walkways clear and preventing bottlenecks
• Help direct attendees toward food options and reduce confusion
• Monitor trash overflow near food areas and report issues quickly
• Communicate vendor concerns to the Food Truck & Beverage CoordinatorTIME COMMITMENT

ROLE TYPE
Facilities Leadership Role — 10–12 Month Assignment
ROLE PURPOSE
Plans and oversees sanitation operations for the event, including restroom units, handwashing stations, servicing schedules, and cleanliness monitoring to protect public health, attendee comfort, and the professionalism of the chapter.
SCOPE OF RESPONSIBILITY
• Coordinates restroom and handwashing needs based on projected attendance
• Oversees placement planning for porta potties and hygiene stations
• Ensures sanitation is stocked, monitored, and maintained throughout the event
• Supervises sanitation-related Leads and volunteers assigned under this section
• Escalates sanitation risks immediately to Vendor Director and Operations
• Protects ADA access, cleanliness standards, and venue reputationTIME COMMITMENT

ROLE TYPE
Facilities Support Lead — Event + Light Planning Assignment
ROLE PURPOSE
Ensures all portable restroom units are correctly placed, accessible, stocked, and monitored throughout the event so restrooms never become a problem for attendees, vendors, or volunteers.
SCOPE OF RESPONSIBILITY
• Confirms porta potties are delivered and placed according to the approved site map
• Ensures ADA units are accessible and positioned correctly
• Monitors supplies (toilet paper, sanitizer if built-in) and reports low inventory immediately
• Performs scheduled walkthroughs to check cleanliness and functionality
• Coordinates service requests through the Sanitation Coordinator if issues arise
• Temporarily closes unsafe units and escalates urgent problems immediatelyTIME COMMITMENT
• 1–2 hours per month during final planning phase

ROLE TYPE
Facilities Support Lead — Event + Light Planning Assignment
ROLE PURPOSE
Ensures hygiene stations, sanitizer access points, and high-touch public areas stay clean, stocked, visible, and functional throughout the event to protect public health and attendee confidence.
SCOPE OF RESPONSIBILITY
• Monitors handwashing stations and sanitizer stations across the venue
• Ensures stations are stocked, accessible, and not blocked by crowds or vendor setups
• Conducts routine cleanliness walkthroughs in high-traffic areas including: food zones, vendor rows, restrooms, and kids/family areas
• Identifies spills, trash overflow, or unsanitary conditions and triggers fast response
• Coordinates volunteer support and escalates issues immediately to Sanitation Coordinator
• Helps maintain a clean and welcoming environment all day longTIME COMMITMENT
